Reports to: Associate Director of Development and Communications
Status: Non-Exempt, Full-Time
Hours: Monday through Friday, 8:30 a.m. to 4:30 p.m.

Summary

The Sisters of Charity of Our Lady, Mother of the Church, seeks qualified candidates to join our development office team located in Baltic. This position provides a broad range of support to the Development Department in order to raise funds to advance the mission of the Sisters of Charity of Our Lady, Mother of the Church.

In this role, you will be an integral part of a busy development office and provide administrative, clerical, and customer service support to ensure efficient operation of the office.

Responsibilities

  • Accurately process and record all incoming gifts (mail, online, and other forms) in a timely manner.
  • Ensure prompt and personalized acknowledgement of all gifts, in accordance with organizational and donor stewardship standards.
  • Generate receipts, tax acknowledgements, and supporting documentation for donors.
  • Monitor gift entry to meet established turnaround times, especially during high-volume periods.
  • Uphold data integrity standards and follow internal controls and compliance guidelines.
  • Respond to donor inquiries related to gifts and acknowledgements with professionalism and care, demonstrating exemplary customer service in all exchanges.
  • Ensure operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  • Carry out administrative duties such as filing, typing, copying, binding, and scanning.
  • Maintain a clean and organized work space.
  • Perform other duties as assigned to support the mission and ministries of SCMC.

Skills and Competencies

  • Proven administrative or assistant experience.
  • Computer skills: facility with MS Word, Excel, and email/internet software. Experience with donor databases such as Portfolio is a plus.
  • Oral and written communication and interpersonal skills: possess the ability to communicate effectively and work well within a team environment.
  • Organizational skills: the ability to work productively in a fast-paced, detail-oriented, and collaborative environment and the ability to independently manage a multi-faceted workload and meet strict deadlines.
  • Accuracy and attention to detail are a must, along with sensitivity when working with highly confidential information and the ability to maintain complete discretion at all times.
  • Understanding, respect, and support for Catholic Church teaching, as well as the mission, ministries, and values of the Sisters of Charity of Our Lady, Mother of the Church.
